Seminar design and format

  • Seminars often include a mix of relatively new and experienced AS/PC® users.  They are not designed for users who have no experience with the system.
  • Groups typically range in size from 10 to 25 individuals, an optimal size for effective instruction.
  • The instructor runs the program live, projected on a large, clearly-visible screen via video projector.
  • Instruction is paced for easy understanding and note-taking.
  • Each seminar covers new features, in-depth training in selected major areas of the program, and ample time for questions and answers.
  • There are two distinct full-day seminars at each location.

Course Content

Day 1   Focuses on the financial management aspects of AS/PC®  for Windows.  Specifically, how to most effectively get the bills out and the payments in.

Key topics include:

  • Maintaining accurate balances
  • Managing receivables 
  • cash, insurance, & total balances
  • collecting patient portion
  • handling unpaid portion of claims-carrier billing & patient billing
    adjustments and transfers
  • tracking unpaid claims
  • fixed-amount-per-visit co-pay-insurance tracers
  • returned checks-corrections to closed month claims
  • refunds and insurance take-backs-re-opening a closed claim
  • transferring credit to another patient-methods of flagging accounts for collection work
  • Using carriers ’ allowed amounts, to make your Automation of charges entry with FEE and catalogs receivables accurate and avoid 
  • Setting claims options to meet carrier requirements manual write-offs
  • Reports to detect missing information prior to billing

Day 2   Focuses on the many powerful tools and reports in AS/PC® for Windows, with special emphasis on step-by-step instruction in the use of queries to get the data you need, including queries for billing operations and reports covered on Day 1.  Other “power functions” also are applied to activities discussed on Day 1.  Topics include:

  • Daily and monthly reports
  • Cross-checking to catch errors
  • User-defined lists/reports
  • Creating your own fields in the MY file
  • Merging patient data into letters/documents
  • Printing labels, envelopes
  • The Recall Report – a patient-specific tickler system
  • Locating patients by SSN, first name, DOB, or anything else
  • Queries to limit the carrier data audit to patients you are currently billing, and the insurance ledger to claims over 60 days, 90 days, etc.
  • A semi-automated system of using collection letters, which creates a record of letters sent.


How to print your superbills (encounter forms) with the patient info you need
How to set up a customized patient statement (but with no transaction detail)
Using the Open Problem Tracking System to keep on top of unresolved problems
Printing reports to text files – for economy, or so they can be re-organized in a spreadsheet, or graphed

  • Days 1 and 2 can be taken separately and in any sequence.
  • Hotel phone numbers are provided here in case you wish to make reservations (be sure to mention that you are attending the seminar) or need further travel directions.  Do not call the hotel for information about the seminar.
  • At some locations, special hotel room rates are available for seminar attendees, as shown on the schedule below.  However, Doug Albaugh is not responsible if a hotel does not honor the rate shown.  Reserve early to get the special rate.  Some hotels have a cutoff date for special rates two to four weeks before the event.

Seminar Registration and Fees

For obvious reasons, we recommend that you register well in advance of the session you plan to attend.  To qualify for the early registration price, your registration form with check payable to Doug Albaugh must be postmarked no later than 14 days prior to the session you plan to attend.  Lunch is included in the cost of each seminar.  Fees for the first person and for each additional person from your office at one seminar location are as follows:

About Late Registration:  While we encourage early registration, we do understand that “late” registration is necessary from time to time.  If you must register late (within two weeks of the seminar date), please call 740-984-8201 to let us know that you will attend the session.  In almost all instances, we can accommodate late registrations.  However, please DO NOT JUST SHOW UP at the seminar.  We appreciate your cooperation.

About seminar cancellation: We know the importance of scheduling staff activity.  That’s why, on those rare occasions when a seminar must be canceled due to under-enrollment or closed due to over-enrollment, we provide as much advance notice as possible.  However, in the rare event that a cancellation is necessary (even with little or no notice), Doug Albaugh’s liability is limited to refunding fees received.

If you cancel your registration less than three days prior to the seminar, any refund will be based on amounts recoverable, and will be solely at Doug Albaugh’s discretion.

About the Instructor

Doug Albaugh, a former college professor, has been conducting seminars and providing on-site training on DB Consultants software since 1989.  Doug now offers seminars in a number of states, on a rotating basis, and works exclusively with DB Consultants software.  Other services available from Doug include customized on-site training for individual offices or groups of offices, and telephone training or consultation by appointment.  Private training sessions at Stockport, Ohio, are available at a reduced rate.  Please feel free to call Doug with questions regarding any of these options.
